Job Summary:
The City of Woodstock is accepting applications for the newly created position of Front of House Manager. The purpose of this position is to manage the Front of House operations at the Woodstock Opera House which includes the box office, Stage Left Caf+eacute;, house management duties, and volunteers. Additional duties include customer service, customer relations, catering and event coordination, and related administrative duties. The work is performed under the supervision of the Managing Director of the Woodstock Opera House.

Examples of Essential Duties and Responsibilities:
General Responsibilities:

1. Works directly with the Managing Director, producing agents and resident companies to establish and implement all sales, customer service, and patron related policies.
2. Provides financial reports, profit/loss statements, and other sales related information as required.
3. Assigns staff work schedules; participates in recruitment and hiring; and provides training on proper procedures, job duties, equipment function and customer service guidelines for front-of-house staff.
4. Provides patrons and staff with information regarding show times, ticket prices, dining, local accommodations, directions and other local information.
5. Performs a lead role in receiving and resolving customer service issues.

Box Office Duties:

1. Oversees and conducts the processing of ticket sales whether by phone, mail, in person or online.
2. Utilizes box office ticketing software to program, record, and track all sales and customer information.
3. Maintains and tracks group and non-standard ticket sales.
4. Balances all ticket sales records and oversees deposits and financial reporting of funds to the Finance Department.
5. Ensures that the Box Office is stocked with appropriate supplies, equipment, and materials to conduct ticket sales.

Stage Left Caf+eacute; Duties:

1. Oversees and conducts the processing of beverage and concessions sales.
2. Utilizes a Point-Of-Sale software solution to record sales of caf+eacute; concessions and track inventory.
3. Balances all concessions sales records and oversees deposits and financial reporting of funds to the Finance Department.
4. Conducts routine inventory checks and collates inventory reports with concession sales. Purchases and maintains adequate stock of concession items and supplies.
5. Assists in the coordination of rentals and event activities at the caf+eacute;.
6. Ensures all caf+eacute; equipment is in working order and receives regular maintenance.

House Management:

1. Recruits, trains, and schedules volunteers from the community to usher all performances.
2. Creates and maintains a volunteer procedure manual.
3. Ensures the safety of patrons, volunteers, and staff through the proper implementation and enforcement of emergency response procedures.
4. Creates and maintains emergency guidelines and procedures for public areas.
5. Prepares reports which include house counts, lost and found, customer service issues, required building maintenance, and patron feedback.
6. Coordinates the use of the lobby, old library, and community room areas for receptions including set up, decoration, coordination of catering, and clean up.
7. Ensures adequate advertising material is present through display racks, brochures, flyers, and posters in front of house areas.
8. Creates, administers and maintains recognition and incentive programs for volunteers.
9. Assists in the creation and distribution of programs for Opera House produced events.

Minimum Qualifications:
1. Bachelor of Arts Degree in Business Administration, Theatre or Communications with 2-4 years of business and customer service experience or any combination of education and experience that provides equivalent knowledge, skills and abilities.
2. Must possess excellent oral and written communication skills. Secondary language, Spanish, preferred but not required.

Salary and Benefits:
This is a salaried, exempt position for which the starting salary range is $51,417.60 - $65,686.40 annually dependent on qualifications. The full salary range for this position is currently $51,417.60 - $79,955.20 annually. This position is eligible for an Opera House incentive compensation plan in addition to base salary. Additionally, an excellent benefits package is provided including, but not limited to, group health insurance and IMRF pension.
