Position Summary:
As directed, assists with all aspects of the metoperashop.org website including new product additions, reporting, data and image maintenance, and vendor relationships. Assists with the procurement of merchandise offered for sale in all retail channels for the Met Opera Shop. Prepares weekly and monthly reports and assists with maintenance of product information. Working with DM and merchandising manager, assists with new product development, and new vendors. Enters and maintains computer input of new product information into Celerant (POS system). Coordinates with the Merchandising Manager, Store and Operations Managers and Operations Assistant, and Accounting as directed to ensure efficient and profitable retail operation.
Primary Responsibilities
• As directed by DM and Web consultant, uploads new products and assists with all aspects of web store business
o Provides all data and graphic assets for the web site and maintains data records in Celerant including;
+#61607; Detailed product information including dimensions, weights, materials, history, fabrication, and relationship to opera production
+#61607; Assists with the procurement of images from vendors
+#61607; Maintains detailed and up-to-date product information in inventory item record within Celerant
o Reports on sales, marketing, and shipping
o Liaises with Metopera.org as needed to ensure seamless operations and customer experience
o Follows up on testing and trouble shoots as directed by consultant and DM
• Created and maintains purchase orders as directed
o Reorders basic stock items with approximately a one to three month supply – depending on vendor, minimums, sales, timing, etc.
o Orders across all categories but specifically responsible for new releases in music for the web and store
+#61607; Ensures new releases are entered in time for preorders
+#61607; Ensures adequate inventory of production related titles are on hand throughout the run of the show
+#61607; Ensures database is up to date with deletions, season codes, release dates, and product information
o Creates and enters new items and orders as directed
o Ensures all order are placed, entered, accurate, and on record before goods are received
o Ensures Celerant purchase order reports are up to date and current (no open orders past the due date)
o Updates product information on a timely basis including Deletions, OF fields, UBIT, product information detail
o Closes and cancel late orders and communicated with vendors to ensure on-time delivery
• Helps maintain product assortments across all departments in line with annual sales and inventory goals
• Assists with the execution of seasonal sales plans: Fall, Holiday, Winter, Spring, Summer
• Executes on pricing and assortment strategy and ensures consistent pricing within categories and by vendor including average mark-up by type/vendor, attribute classifications and price range data.
• Provides inventory and sales reports utilizing Celerant, Data Warehouse, FedEx, and others
o Provides reports such as open orders, unmatched invoices, term sales, inventory levels, shipping costs and others as directed
o Provides YTD sales reports, annual sales worksheets, Opera and Artist reports, and others
o Provides Web marketing and shipping reports as well as general inventory updates
• Maintains excellent vendor relations and relationships
o Provides reports by vendor and for vendor to manage and increase year-over-year sales
o Implements sales and purchase goals by vendor
o Ensures proper set up of vendor files, terms, contacts, contracts, and account set up
• Attends trade shows and meet with vendors throughout the year
• Assists with web and store merchandising as needed
• Takes on other duties and responsibilities as needed to support the business
Qualifications and Skill Requirements
• Bachelor degree in Business or Merchandising
• Minimum 3 years experience in Product Development or Retail Buying Office
• Excellent organization and communication skills
• Creative, proactive problem solver, deadline driven
• Excellent sense of urgency and ability to be detail oriented, flexible and self motivated in a fast paced environment
• Qualified candidates must have a strong command of Word and Excel programs including formulas
• Predominantly office work environment with some retail store and market interaction.
